Event Management

A producer who owns the day, a run-sheet down to the minute, and one number to call. So the family can attend the wedding instead of running it.

Most Tamil weddings are run by an uncle with a notebook and a group of cousins on WhatsApp. It works, more or less, and it costs the family the experience of their own wedding. The mother of the bride spends the muhurtham counting chairs. The father takes calls from the caterer during the thaali. Everyone sees the photographs afterwards and realises they were not really there.

Event management is us taking that off you. One producer is assigned to your wedding. They build the plan, hold the vendors to it, and stand at the venue for every function so that when something moves — and something always moves — it is handled before it reaches you.

What the producer actually does

Before the wedding

  • The run-sheet. Every function mapped to the minute: muhurtham timing, when the mandapam is dressed, when the priest arrives, when the crew eats, when the stage opens for the reception queue. Shared with you and with every vendor.
  • Venue liaison. Setup windows, power load, generator backup, parking, guest entry, sound restrictions and the cut-off time the venue will actually enforce rather than the one in the brochure.
  • Vendor coordination. Caterer, priest, mehendi artist, florist, transport, hotel blocks, orchestra. We brief them, collect their timings and hold them to the sheet.
  • Recce. We walk the venue in advance, usually at the time of day your function will run, because a mandapam at 5am and the same mandapam at 5pm are two different rooms.
  • Budget tracking. A single sheet showing committed, paid and pending across every vendor. No surprises in the last week.

On the day

  • Producer on site from setup to teardown, for every function.
  • Guest and hospitality management — arrivals, elders, the out-of-town families, the people who need looking after.
  • Vendor call times, load-in, and the hundred small decisions that otherwise land on the bride's brother.
  • A single point of escalation. When the generator fails or the priest is late, one person is already solving it.

What we do not do

We are not a booking agency and we do not take commission from vendors we recommend. If we suggest a caterer it is because we have watched them work, not because they pay us. That means our recommendations are worth something and it also means we will happily work alongside vendors you have already chosen.

Multi-day and destination weddings

Three-day weddings with a nichayathartham on one day, mehendi and sangeet on the next and the muhurtham at dawn on the third are the norm rather than the exception, and they are where a run-sheet earns its keep. We manage destination weddings in Mahabalipuram, Pondicherry, Kodaikanal, Ooty, Coorg and across India, including guest logistics and hotel coordination.

Why take it from the studio that shoots the wedding

Because the two jobs are the same job. The person deciding when the entry happens is the person who knows where the light will be. When the producer and the lead photographer are in the same office, the entry cue, the sparkler timing, the LED wall content and the colour grade are planned together instead of negotiated on the day.

Everything is delivered by our own crew on our own equipment. Nothing is sub-hired, so the standard does not change from one part of the day to the next.

Where we work

Chennai and all 38 districts of Tamil Nadu, with regular travel to Coimbatore, Madurai, Trichy, Salem, Tirunelveli, Thanjavur and Kanyakumari. Travel and accommodation are quoted as a separate visible line rather than buried in the price.

Frequently asked questions

Do you manage weddings where another studio is doing the photography?

Yes. Event management is available on its own. We will work with whichever photographer, caterer and decorator you have already booked. Most families who take it do also have us on the cameras, simply because the planning and the shooting inform each other.

How far in advance should we book event management?

Six to nine months for a full multi-day wedding, because that is when venue and vendor decisions are being made and that is where a producer saves you the most. We take on shorter timelines, including four to six weeks, but the earlier we start the more we can influence.

Do you take commission from vendors you recommend?

No. We do not accept referral commission from caterers, venues, florists or anyone else. You pay us, and our recommendation is based on whether we have seen them deliver.

Will one producer be at every function?

Yes, the same person throughout. Continuity is most of the value — someone who was at the recce and the nichayathartham already knows your family, your priest and your venue by the time the muhurtham arrives.

Can you manage the wedding if we are living abroad?

That is a large part of what we do. We handle vendor selection, site visits, video walkthroughs and approvals remotely, and give you a single point of contact in a time zone that suits you. Families in Singapore, the Gulf and the US book this most often.

What happens if it rains or the venue changes late?

Both happen. Wet-weather plans are built into the run-sheet for outdoor functions. A venue change is workable provided we know before the crew leaves, and we will recce the new location if there is time.
